Cancellation Policy
Choosing to spend time in Fernie, BC for one of our retreats is a meaningful commitment, and we’re honoured when you make it. We know that planning time away takes foresight and intention, and we deeply value the effort it takes to join us here. Surrounded by the peaks of the Elk Valley, our workshops are kept small so every participant can fully engage in the studio and the landscape. With only a handful of spaces available, each registration matters. For this reason, our cancellation policy is firm, and we never waiver on it.
Participant Cancellation
All cancellations must be submitted in writing (via email). Any refund due under this policy will be processed within 14 business days to the original method of payment.
Refund schedule:
60+ days before workshop start date: refund less a 15% processing fee.
30-59 days before workshop start date: 50% refund
Less than 30 days before workshop start date: no refund or credit.
No-Show Policy
Participants who do not attend the workshop without prior cancellation will forfeit their registration fee. No transfer or credit will be provided.
Substitution Policy
If you are unable to attend, you may send someone else in your place.
Substitutions must be requested in writing at least five days before the workshop start date.
It is your responsibility to ensure the substitute is able to participate (e.g., has the necessary skills, health, and readiness for the workshop).
The organizers will not issue refunds or handle financial arrangements between participants.
Only one substitution per registration is permitted.
Organizer Cancellation or Postponement
Workshops require a minimum enrollment of six students. If this minimum is not met, the workshop will be cancelled no later than 30 days before the start date and participants will receive a full refund.
In the unlikely event of cancellation by the organizers for any reason, participants will receive a 100% refund of registration fees.
The organizers are not responsible for non-refundable travel, accommodation, or other participant expenses.
Minor adjustments (such as schedule changes within the same dates) do not constitute cancellation and will not trigger a refund.
If a workshop is postponed, participants may either transfer their registration to the new date or request a full refund.
Force Majeure
The organizers are not liable for cancellations or postponements due to force majeure events, meaning circumstances beyond their control including but not limited to natural disasters, severe weather, political unrest, or public health emergencies. In such cases, participants may receive either a partial refund (less non-recoverable costs such as venue deposits or administration fees) or the option to attend a rescheduled workshop.
Travel Considerations
Participants are strongly encouraged to purchase refundable travel and accommodation and/or obtain travel insurance. The organizers will not be held responsible for travel-related costs under any circumstances.
Equipment & Facilities
Workshop equipment is maintained regularly; however, uninterrupted operation of kilns, heat, plumbing, electrical systems, or other facilities cannot be guaranteed. In the event of equipment failure, no discounts or refunds will be provided, but organizers will make every reasonable effort to adapt programming and complete repairs promptly.
Payment Terms
Full payment is required at the time of registration unless otherwise stated.
Registration is confirmed only once payment has been received.
Liability Waiver
By registering, participants acknowledge that workshops may involve the use of tools, clay, kilns, and other equipment that carry inherent risks.
Participants agree to follow all safety instructions provided by instructors and staff and release the organizers from liability for any personal injury, illness, or property damage incurred during the workshop, except in cases of gross negligence or willful misconduct.
Governing Law
This policy is governed by the laws of British Columbia, Canada, and any disputes will be subject to the jurisdiction of its courts.
